ClerkAssist is operated by ElectAssist LLC ("we," "us," or "our"). This Privacy Policy explains how we collect, use, store, and share information when you use ClerkAssist, including the mobile app and web dashboard (together, the "Services").

Depending on your role and how your election office uses the Services, we may collect and process:

• Account and authentication data, such as email, username, sign-in identifier, encrypted login credentials stored on device for biometric login, and account status.
• User profile and access-control data, such as role, assigned state/county/precinct, and related permissions.
• Election operations data entered by users, such as checklist responses, location and precinct workflow updates, roster/contact details, logs, and configuration settings.
• Files and media uploaded or generated in workflows, including photos, signatures, templates, and PDFs.
• Notification data, including push notification tokens and delivery metadata needed to send notifications by role or county.
• Technical data from service operation, such as IP address, device/app details, diagnostics, and security logs provided by our platform providers.
• Optional location data when location features are enabled, to support map/location-based election workflows.

How We Use Information

• Authenticate users, enforce role-based access, and protect accounts.
• Provide election workflow features across mobile and web.
• Store, sync, and retrieve operational records and files.
• Send alerts, reminders, and operational notifications.
• Maintain security, monitor abuse, troubleshoot issues, and improve reliability.
• Comply with legal obligations and enforce terms.

Storage and Persistence

The Services use different storage layers depending on feature and platform:

• Cloud storage/databases for account records, election workflow data, notification data, and uploaded files.
• Device secure storage (for example, encrypted credential storage for biometric login on supported devices).
• Web browser session/local storage and/or cloud-backed UI preference storage for view-state preferences (such as filters, sorting, and layout).

Permissions and Device Access

Based on your workflows and device settings, ClerkAssist may request access to camera, photos/media, notifications, biometrics, phone calling, and location services. These permissions are used only for relevant feature functionality and can usually be managed in your device/browser settings.

Service Providers

We use third-party infrastructure providers (including Firebase/Google Cloud services) for authentication, database, storage, notifications, and backend processing. These providers may process information on our behalf to operate and secure the Services.

How We Share Information

We do not sell personal information. We may share information:

• With service providers that process data for us.
• Within your authorized organization/workflow based on role and access controls.
• When required by law, legal process, or to protect rights, safety, and security.

We retain information for as long as needed to provide the Services, support election operations, meet legal requirements, resolve disputes, and enforce agreements. Retention periods may vary by data type and organizational requirements.

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children's Privacy

ClerkAssist is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Your Choices and Requests
